Job Summary:

The Administrative Assistant will handle day-to-day operations with a focus on efficiency and time management. (S)He will be responsible for administrative processes including: managing incoming and outgoing daily mail, printing checks, filing documentation as required, maintaining daily spreadsheets, as well as other duties as assigned.

Responsibilities:

Printing checks, matching correct invoices to verify accuracy
Office printing for payments, scanning to correct designation
Maintaining multiple spreadsheets that are updated in a daily manner
Cross checking all data coming in from overseas
Matching manifest numbers to contractor invoices
Mailing out payments, preparing labels, etc.
Perform general clerical duties as assigned, including: answering and directing phone calls, filing, data entry and billing
Keep stock of office supply cabinet and order as needed

Requirements:

High school diploma or equivalent
Experience working in logistics, distribution or warehousing environments
Proficiency in MS Word, MS Excel and MS Outlook
3 years of administrative experience
Ability to manage competing priorities simultaneously
Great communication skills
Cross-functional collaboration
Demonstrated reliability and consistent attendance
Highly organized
