Job Summary

The Office Clerk supports Mission Career College’s daily administrative and student services operations. This role ensures student records, class rosters, and enrollment materials are accurate, complete, and readily accessible, while providing a welcoming front desk experience for students and visitors.

Responsibilities

  • Greet students and visitors; answer phones and direct inquiries appropriately.
  • File, maintain, and manage student records, ensuring 100% completeness and retrievability.
  • Process enrollment applications already submitted, verifying accuracy in HubSpot.
  • Schedule student appointments post-enrollment.
  • Verify class rosters, start/end dates, and cohort details in HubSpot; maintain accuracy for reporting and compliance.
  • Support testing and proctoring for CNA and Phlebotomy courses: prepare exams, answer keys, and student answer sheets.
  • Create and distribute student attendance sheets to instructors prior to cohort start.
  • Prepare student entry packets before cohort start and exit/graduation packets before cohort end.
  • Monitor and manage inventory of materials and supplies needed for cohorts.

Other duties as assigned: From time to time, you may be asked to assist with tasks outside your primary responsibilities. These tasks will be aligned with department needs but are not considered core functions of the role.

Qualifications

  • Required:
  • High school diploma or equivalent; some college coursework preferred.
  • Strong organizational skills with meticulous attention to detail.
  • Proficiency with HubSpot or similar CRM systems.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines
  • Preferred:
  • Experience in education or enrollment administration.
  • Familiarity with scheduling and administrative support for testing/proctoring.

Work Environment / Schedule

  • Standard office hours, Monday–Friday; flexibility required for cohort-related events.
  • On-site presence required for front desk, proctoring, and student interactions.

Pay: From $18.00 per hour
